Objective

There are two objectives that you strive to achieve through a reliance on the competencies detailed in your Competency Guide and where appropriate, working through other Division & Department Heads as below:

The primary objective entails establishing, organizing, administering and maintaining a comprehensive personnel administration system and its practice on a day-to-day basis, including but not limited to: -

  1. A HR database through a variety of manual and computerized record keeping systems.
  2. Paperwork related to HR practice (such as employment contracts, forms, letters and related documents) within an efficient filing system.

In enabling the above, this position maintains up-to-date information, assuring complete accuracy and relevance of the data stored in order to provide efficient, accurate and timely information on request, while remaining compliant with confidentiality of records.

The secondary objective entails undertaking small-scale research work as required including collecting, collating and presenting management information reports including statistical information, e.g., monitoring sickness absence levels across the Resort, and providing information to the DHR to ensure referrals are made to Occupational Health guidelines.

The primary objective is to partner Division & Department Heads to ensure integration of the Talent Management framework with its related components above into the operating framework of the Division & Department under their supervision while ensuring legislative compliance in relation to the practices. In this perspective you play the role of HR Business Partner. The key tasks determents of these roles are:

  • COACHING: You unveil frameworks with its related components in workshops and/or briefs and follow up thereafter interacting as a management coach.
  • ANALYSIS: Acting on your own initiative and involving others as necessary conduct analysis e.g., job analysis etc., and identifies needs, e.g., training, manpower, etc.,
  • CONSULTANCY: Performed when called by your colleagues to advice. This may lead on to participation in projects, as exemplified by the co-operation between the DHR and Division & Department Heads in departmental training programs.
  • PROBLEM-SOLVING: Diagnose and search for acceptable and practical solutions to problems, e.g. individual and group difficulties, conflicts & disputes, high labour turnover, etc. Negotiating in its different forms is typical of problem-solving, the objective being to resolve divergent interest.

In carrying out the above roles, this position gives specialist advice, but the General Manager reserves the right to give the Division & Department Heads the directive to implement.

The secondary objective is to monitor and assess effectiveness and efficiency of the Division & Department Heads to comply with the directives of the plan of actions, practices and/or initiatives under the Talent Management framework with its related components and as well as work with the Division & Department Heads directly to diagnose and search for acceptable and practical solutions to challenges.

Main Duties

Your main duties listed below are intended only as illustrations of the various types of work that may be performed to carry out the objective of this position.   1. On-Boarding & Socialization (includes Activities and Program Management, e.g., Welfare, Recognition)
  • Practices (staff parties, organized games, retreats, etc.)

  • Organize and liaise with Department Heads concerning Host Induction
  1. Recruitment & Selection

Carries out coordinating activities and administration in relation to the recruitment and selection process in an effective and timely manner, including:

  • Places recruitment advertisement on online jobsites and print media, e.g., newspapers
  • Screens resumes and coordinate short listing and interviews
  • Conduct pre-employment checks, including medical screenings and reference checks
  • In the absence of the Communications Coordinator conducts English testing for interview candidates
  1. Retention & Succession Planning
  • Monitor and update the succession planning data
  1. Job Analysis & Manpower Planning (includes Absence Management and De-Boarding)
  • Ensure that all Job Descriptions are up to date and accurately describe each position
  • Ensure that all Job Evaluation categories are correct
  • Conduct Exit Interviews for departing Hosts and record the reason/s for leaving in the tracking sheet
  1. Human Resources Information System (HRIS)

Enters data into manual and computerized record keeping database or system and maintains paperwork related to HR practice into the filing system to ensure the maintenance of accurate and updated records, including but not limited to:

  • Manpower Management - adherence to an approved Manning Guide
  • Personnel Administration - employee information entered, tracked, and updated, e.g., hiring, probationary review time periods, career progression, separation, etc.)
  • Payroll Administration
  • Absence Management & Administration - work schedules, absence types, attendance types.
  • Leave Management & Administration
  • Benefits Administration
  • Discipline Record Administration
  • Health & Safety Record Administration
  • Training & Development Administration and maintenance of a Training Inventory
  • Performance Management Administration
  • Record in Fusion all Host accommodation requests which include Guest Villa Requests, Complimentary Stays, Host Village and Family and Friend bookings.
  1. Personnel Administration
  • Draft employment contracts
  • Arrange work permit application and/or renewal for foreign employees.
  • Notify the payroll section of new employees and of any changes in personal or employment circumstances, by using the standard forms provided.
  • Compile Pension Fund Report
  1. Compensation & Benefits Management
  • Oversee the provision of travel arrangements e.g. in relation to recruitment and leave tickets
  1. On-Boarding & Socialization

Oversee the preparation of “Welcome Home” pack contents to facilitate Departmental Orientation. This will involve prior the collation from all Department Heads of all up to date documents relative to the position.

  1. Work Methods

Review and evaluate work methods and procedures and make recommendations for improvement through submission of updated standard operating procedures and process flow charts. In addition, facilitate the smooth running of the department through adequate supply of materials and equipment, including but not limited to documents related to the HRIS.

  1. General

Perform Manager on Duty shifts as required.

Assist Director of Human Resources with HR related projects:

  1. Recruitment & Selection

            Be aware of and assist in the welfare needs of our Management Hosts and be able to counsel them

            Employee Assistance Programs

Perform Manager on Duty shifts as required.

 

  1. Coordinating Duties

This position will attend arranged and ad hoc meetings, e.g., morning briefings under the directive of the DHR and act as secretary of the Executive Committee. The secretarial tasks include collation and distribution of agenda and supporting papers, taking minutes and where appropriate following up action points.

  1. Ensure that the company's objective for host retention is achieved and to analyze host turnover statistics so that problem areas are highlighted and the appropriate action taken.
  2. Ensure that all statutory acts and proclamations with regards to host remuneration and benefit packages are adhered to and all line managers are fully aware of and responding to all statutory legislation affecting the hospitality industry.
  3. Keep an updated database of information on comparative surveys of salaries, benefits and service charges on par with other competitive resorts to ensure that we are always ahead of the competition.
  4. Be aware of and assist in the welfare needs of our Hosts and be able to counsel them.
  5. Ensure that the Human Resource Best Practices are maintained and strictly adhered to.
  6. Perform any other reasonable duties as designated by the Director of Human Resources & Training.
  7. To ensure that the company's host procedures are strictly adhered to.
  8. Respect and ensure the utmost care for the environment.
  9. Ensure that all host files are audited on a regular basis ensuring all contractual obligations are up to date, signed and filed on all Hosts personal file.
  10. Ensure that all Host information is kept strictly confidential at all times. The information to be used only by the Human Resources Department for updates.
  11. Ensure that all Job Descriptions are up-to-date and accurately describe each position
  12. Ensure that all Job Evaluation categories are correct.
  13. Ensure that all Host accommodation is maintained, and standards are evaluated daily
  14. Ensure cost effective recruitment through the use of appropriate sources as directed by the Director of Human Resources
  15. Ensure the recruitment and selection of people is done objectively and based on Job Descriptions and Manning Specifications.
  16. Ensure that all new and transferred Hosts attend an in-depth induction program
  17. Ensure that performance appraisals for all hosts are carried out on the Hosts anniversary date
  18. Implement and support all resort and HPL initiatives and programs as requested.
  19. Identify and propose social responsibility activities to be carried out for the financial year.
  20. Process the monthly payroll and update employee in Fusion
  21. Compile Pension Fund Report
  22. Perform Manager on Duty shifts as required
  23. Assist with the departmental Business Plan and Capex requirements for the yearly budget
  24. Assist with the preparation of the departmental manning guide
