- Staff Village Upkeep
- Oversee the daily upkeep of all staff accommodation and surroundings; report repairs and raise work orders, suggest improvement in these areas.
- Direct the cleaning of staff rooms and ensure that new staffs are provided with the necessary welcome amenity and letter as well as towel and bed linen.
- Assist the Human Resources Coordinate with arranging interviews for prospective staffs ensuring that accurate details are recorded in the appropriate diary and that relevant information is communicated to all concerned.
- Show interviewees, visitors and new staffs around the Staff Village.
- Answer the telephone in a professional manner and ensure that accurate messages are recorded and relayed quickly and correctly to the relevant person.
- Organize and actively participate in all staff social activities.
- Coordinate and assist in the staff activities.
- Prepare posters advertising special offers and discounts for the Staff Notice Board.
- Deal with minor staff requirements and to ensure that all resolved/unresolved matters are brought to the attention of the Director of Human Resources & Training / Human Resources Manager.
- Administer daily work load to the Staff Village Cleaners, Handyperson and Gardener
- Conduct weekly room inspections and complete applicable Maintenance requests
- Follow up Maintenance Requests and update register
- Ensure all areas of responsibility in the Staff Village are kept neat and tidy
- Responsible for ensuring the Staff Accommodation Register is kept up to date
- Keep an up to date inventory of all items issued in Staff Rooms and Management Bubble
- Ensure “Gili Has Fun” is well maintained
- Ensure “Gili Goes Surfing” is clean and the computers are in working order
- Perform additional duties as required by the Director of Human Resources & Training / Human Resources Manager.
- Ensure smooth and efficient operations of the Human Resources department, by welcoming all persons entering the Human Resources Office or via the telephone at all times.
- Maintain and update all human resource records i.e. Personnel Files, KBIs, Exit Interview, Leave, new sytaff information etc.
- Provide updated information to all Department Heads as and when required.
- Process all necessary paperwork in an accurate and timely manner, in order to meet specific deadlines and to maintain a professional image at all times
- Organize, confirm and communicate all resort transfers to the required individuals on a timely basis.
- Assist with the purchasing of staff tickets and handle correctly, ensuring that flights are booked and communicated back within plenty of time. Prepare correct costing information and provide to accounts in a timely fashion.
- Assist and actively participate in all Human Resource social activities
- Assist in the recruitment and selection process; give assistance in organizing reference checks.
- Monitor and record the recruitment of general staffs.
- Administer and confirm staff movements such as promotions, transfers, resignation’s and termination of all staffs and maintain up to date records.
- Ensure all contracts are renewed on an annual basis, signed and placed on staff files
- Audit staff files ensuring all information is accurate, up to date and filed in the specific sections.
- Assist in handling Salary Administration, Leave Administration and ensure records are updated and maintained.
- Undertake specific responsibilities of the Human Resources Officer duties during their absence.
- Update the Staff Notice Board
- Compose new Staff Announcements, Promotions, letters etc.
- Perform additional duties as required by the Director of Human Resources / Human Resources Manager.
